Thank you for choosing Confmeets Conferences. Please read the following terms and conditions carefully as they govern your reservation and participation in our events. Your reservation implies acceptance of these terms.
- To secure your participation, full payment is required prior to the commencement of the conference. All registrations must be completed through Confmeets’ official or affiliated payment gateways. Upon successful registration, participants will receive a confirmation email along with a transaction receipt and other relevant details.
- Please note that onsite payment is conditional and not encouraged. Confmeets cannot guarantee accommodation or event access in cases of on-the-spot payments.
- To take advantage of early bird rates, payments must be completed before the deadline specified on the conference's official registration page. Availability is limited and subject to change, so early registration is highly recommended.
- All relevant registration details can be found on the respective conference registration pages. Fees are subject to change based on seat availability, currency exchange fluctuations, and registration phase. Participants are encouraged to register early to secure the best rates.
- Confmeets strongly advises participants to apply for a Business Visa well in advance, indicating the purpose of travel as “Attending Conference” or “Business”, as appropriate.
- Confmeets does not guarantee Visa approvals, as these are solely at the discretion of local consular or embassy authorities.
- In case of event postponement, your registration will either be fully refunded or transferred to another Confmeets event within one year from the original registration date.
- Confmeets does not communicate directly with embassies or consulates on behalf of participants. However, we are happy to provide verification or supporting documentation if needed.
- Invitation Letters for Visa applications will be issued only after full registration and upon receipt of required passport information, including:
- Full legal name (as in passport)
- Passport Number
- Date of birth
- Nationality
- As per Confmeets terms and conditions, no refunds can be issued once an official invitation letter has been generated and sent.
- Partial or token payments are not eligible for refund unless full payment has been received and processed.
- Letters for hotel accommodation will be provided only to registrants who have selected and paid for accommodation during registration.
- If a participant is unable to attend the registered conference, the following cancellation policy applies:
- More than 60 days before the event: 80% refund.
- Cancellations received 30 to 60 days before the event will be eligible for a 50% refund of the registration fee.
- Cancellations requested within 30 days of the event are not eligible for a refund.
- Virtual presentations / e-posters / video submissions: Non-refundable
- All eligible refunds will be processed within 5 to 7 business days from the date of the official request. Please note that 20% of the registration fee will be deducted to cover transaction fees, gateway charges, and other administrative costs.
- Accommodation refunds are subject to hotel policies and usually applicable only for cancellations made at least 30 days prior to the event. For accommodation cancellations, please notify Confmeets at the earliest to avoid deductions.
- Confmeets does not offer standard transportation services between the airport, hotels, or conference venues. Any available shuttle service will be disclosed during the registration process. Participants are expected to manage their own travel logistics and will bear all related expenses.
- Registration fees do not include travel, health, or personal insurance. Confmeets recommends participants arrange their own insurance coverage prior to attending the event.
- All attendees are expected to adhere to professional standards of behavior and dress appropriately throughout the duration of the conference. Participants are solely responsible for their belongings. While Confmeets strives to maintain a secure environment, we are not liable for any loss or damage to personal items.
- Media personnel and press representatives must obtain prior written authorization from Confmeets to access any part of the conference. No content, speaker quotes, or images may be published or shared without formal approval.
